This Privacy Policy explains how SOFTGRIDINC PTE. LTD. ("we", "us", "our") collects, uses, and protects information when you use the IRIS by CPG FM mobile application (the "App"). The App is used by tenants, visitors, and facility staff to support facility management workflows such as visitor registration, inspections, maintenance work orders, and related notifications.

We only collect location and camera data when the related feature is actively used (e.g. scanning a QR code or checking in), and only with your device permission. The App does not collect background location data.

3. How We Use Your Information

To provide and operate core App features (account access, check-in, inspections, work orders, approvals);
To send you push notifications relevant to your account or assigned tasks;
To maintain accurate facility records on behalf of your organization (e.g. building owner, employer, or property manager);
To maintain the security, integrity, and reliability of the App;
To comply with legal obligations.

We do not sell your personal information. We may share information:

With your organization's administrator(s) (e.g. building/property management staff) who manage the facility you are registered with — this is the core function of the App;
With service providers who help us operate the App (e.g. cloud hosting, push notification delivery), only as needed to provide those services and under confidentiality and security obligations;
When required by law, regulation, or legal process;
In connection with a merger, acquisition, or sale of assets, subject to continued protection under this Policy.

5. Data Retention

We retain your information for as long as your account is active or as needed to provide the App's services, and as required to meet legal, accounting, or reporting obligations. Records submitted as part of facility operations (e.g. inspection logs, visitor check-in records) may be retained by your organization in accordance with their own record-keeping requirements.

6. Data Security

We use reasonable technical and organizational measures to protect your information against unauthorized access, alteration, or disclosure, including encrypted transmission where supported, access controls, and limiting access to authorized personnel who need the information to operate or support the App. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Rights & Choices

Accounts are provisioned and managed by your organization's administrator. You may review, update, or request deletion of your account information by contacting your administrator;
You may disable camera, location, or notification permissions at any time via your device settings — this may limit certain App features;
You may request access to, correction of, or deletion of your personal information by contacting us using the details below, subject to applicable law and your organization's record-keeping obligations.

8. Children's Privacy

The App is intended for use by adults in a professional or facility-management context and is not directed to children. We do not knowingly collect personal information from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated effective date at the top of this page. Continued use of the App after changes take effect constitutes acceptance of the revised Policy.
